Privacy Policy

Contact and inquiry information, today. When you use our "Book a Call" or Contact Us forms, we collect what you submit — your name, email, phone number and organization or school name (if provided), the reason for your message, and its content.

Case and compliance information, once you use the platform. When you or your school or employer creates an account, we collect the information needed to track your case — which may include your name, contact details, SEVIS ID, academic and employment details, and, for certain filings, sensitive identifying information such as your Social Security Number, A-Number, date of birth, country of citizenship, and address. Identifiers like these are encrypted, and access is limited to your own account and the specific school official(s) or employer contact(s) connected to that case — not to every user of the platform.

Usage information. Our hosting, authentication, and error-monitoring providers automatically log standard technical information (such as IP address, browser type, and pages visited) to keep the service secure and reliable.

• To respond to inquiries and calls requested through our Contact Us and Book a Call forms.
• To operate case tracking — negotiating offers, generating compliance documents and checklists, sending deadline reminders, and sharing the case record with the parties you've connected to it (student, employer, and school).
• To send account and case-related notifications.
• To maintain and secure the service, including fraud prevention, debugging, and error monitoring.
• To bill whitelabel/institutional customers, where applicable.

We do not sell your personal information.

We share information with a small number of providers who help us operate the service:

• Resend — delivers the emails Collegentic sends (notifications, reminders, and responses to Contact Us / Book a Call submissions).
• Supabase — hosts our database, authentication, and file storage.
• Vercel — hosts the application itself.
• Stripe — processes billing for whitelabel/institutional customers only.

Each provider only receives the information it needs to perform its function.

Contact and Book a Call submissions are retained only as needed to respond to your inquiry and for a reasonable recordkeeping period. Case data is retained for as long as the related account or case is active, and for a period afterward as needed for recordkeeping, unless you request deletion (see "Your Rights" below). Certain sensitive identifiers — such as Social Security Number, A-Number, and related identity details — can be deleted directly from your account once no longer needed, independent of the rest of your case history.

You may request access to, correction of, or deletion of your personal information, subject to applicable legal and recordkeeping requirements. To make a request, reach us through Contact Us.

Collegentic does not currently use cookies or similar tracking technologies for analytics or advertising. If that changes, we will update this policy to describe what is used and why.

Collegentic is not directed to children under 13, and we do not knowingly collect personal information from children under 13. If we learn that we have collected such information, we will delete it.

We may update this Privacy Policy from time to time. Changes will be posted on this page with an updated effective date.
